Thank you for visiting casbo.org, the official website (“Site”) of the California Association of School Business Officials (CASBO), a California public benefit non-profit corporation qualified as a 501(c)(3) federal tax-exempt organization (collectively “we”, “us”, “our”).
This Privacy Notice, together with any other external information, documents or policies referenced herein (collectively, each as may be modified from time to time, this “Privacy Notice”) applies to any person that accesses our Site or mobile application, or otherwise communicates or provides information to us through our online or offline services or events (collectively, the “Services”) and shares information with us (collectively, “you”).
This Privacy Notice describes what information (including personally identifiable information (“personal information”)) we may collect, use, disclose, and how we intend to use, share, and protect such information when you interact with our Services.
We reserve the right to update this Privacy Notice from time to time, in which case, such updates will be published on our Site and shall apply to you prospectively from the date of such publication.
BY ACCESSING OR USING OUR SERVICES YOU ARE BOUND BY AND CONSENT TO THE TERMS OF THIS PRIVACY NOTICE AND OUR TERMS OF USE.
1. What Information Do We Collect About You?
From time to time, depending on what Services you use and how, we may collect one or more of the following categories of information:
- Device and usage information: This may include IP address, device identifiers, browser type, operating system information, language preference, links that you use to arrive at, or connect to or from our Site, pages viewed, time stamps, number and frequency of visits to the Site and other similar data.
- Cookies and similar technologies: (See Section 4 below).
- Contact and account information: This may include name, email, phone, mailing address; username/password you create for access to the Services.
- Professional Information: This may include job title, job function/role, employer name, years of experience.
- Membership, event, and transaction details: This may include membership registration information, membership type and dues status, invoices and other purchase details.
- Financial Information: This may include bank account number, routing, ACH transfer details and credit card numbers. Payment card transactions are processed by our payment processors.
- Communications: This may include emails, social media messages/comments, other online and offline form submissions, customer support requests, and feedback, and other information you voluntarily provide to us.
- Location-related Information: With the exception of the “CASBO2GO” mobile application (the “App”), which (unless such permissions are disabled) collects precise device geolocation, we collect approximate geolocation based on your IP address location.
2. Why We Use Such Information?
We will use the information we collect from you for the following purposes:
- Providing information to you and the public about our Services;
- Operating, maintaining, and improving the Services (including troubleshooting, analytics, and performance monitoring of the Site and the App);
- Providing and administering memberships, events, training, and other services;
- Creating and managing accounts and registrations;
- Processing payments and refunds;
- Contacting and communicating with you about your membership, account, registrations, purchases, support requests, and other Service-related matters and updates;
- Sending newsletters, event announcements, and other communications you request or consent to receive;
- Providing App features that require device location when you enable it;
- Protecting the security and integrity of the Services, including preventing and investigating fraudulent, unauthorized or illegal activity, and otherwise enforcing our Terms of Use;
- Complying with legal obligations and responding to lawful requests; and
- For any other purpose for which you may provide consent.
3. Sharing of Information by Us
We may disclose information with third parties as follows:
- Service Providers: While we do not sell (and do not disclose) your personal information to third parties for their own direct marketing purposes, we do disclose certain information to vendors that perform services for us (including but not limited to hosting, security, email, payment processing and other site operations or maintenance purposes, customer support tools, analytics).
- Events, programs, and partner interactions: To administer events and programs, we may disclose limited participant information (for example, name, title, organization, and attendance or engagement information) to presenters and program partners as reasonably necessary to deliver the program (e.g., confirming eligibility, facilitating course access, or coordinating session logistics). If an event includes sponsors or exhibitors, CASBO may offer opportunities for you to share your information directly with those third parties (for example, by opting in during registration, scanning a badge or QR code, or submitting your information at a sponsor/exhibitor booth or form). When you do so, that third party’s privacy practices apply.
- Legal, safety, and organizational transactions: As required or permitted by applicable law or regulation, or in the good faith belief that such action is necessary to: (a) comply with a legal obligation or in response to a request from law enforcement or other public authorities (including but not limited to: respond to subpoenas, court orders, legal process, legal claims or government inquiries); (b) protect and defend our rights or property; (c) act in urgent circumstances to protect against fraud or security issues, including, without limitation, personal safety of users; (d) enforce our Terms of Use or otherwise protect against any legal liability; or (e) support our audit, compliance, and corporate governance functions; or (f) in connection with a merger, acquisition, reorganization, dissolution, bankruptcy proceeding or similar corporate transaction.
- Consent: Pursuant to your consent or direction, we may share information for any other purposes not listed above.
4. Use of Tracking Technologies
Some of the features on our Site require the use of “cookies”. Cookies are small text files placed on your browser or device, that can help web sites function, improve performance, and provide certain usage statistics. For example, we use cookies and similar technologies to remember settings, keep you signed in, help keep the Site secure and run basic analytics to understand Site traffic. If you delete or block all cookies, parts of our Site may not work.
- We use retargeting cookies.
- We do not use behavioral advertising techniques.
- We do not sell personal information.
The following categories of cookies may apply to this Site:
- Essential (strictly necessary) – required to operate the Services and keep them secure (e.g., session management, anti‑forgery tokens, load balancing, reCAPTCHA).
- Functional – remember choices (e.g., language), enable forms or embedded content you request (e.g., maps, videos).
- Analytics (non-advertising) – Help us understand how the Services are used so we can improve performance and content.
- Advertising/retargeting: Where enabled, this helps us measure the effectiveness of campaigns and, in limited cases, re-engage users with content. We deploy limited third party advertising, retargeting, and –cross-site behavioral ads. If you see embedded content, those providers may set their own cookies when you interact with their content; to the extent practicable.
Below are some of the third-party cookies we employ in order to provide a better user experience:
- Google Analytics: sets cookies to collect information about how users interact with our website. This includes pages visited, time spent on site, and traffic sources.
- Fonteva: is a Salesforce-native association management system that powers member portals and event pages, it may set cookies for logged-in user sessions, personalization, and analytics.
- Pardot: these cookies support lead tracking, email behavior analytics, and dynamic content delivery.
- VoterVoice: uses cookies to remember returning visitors, track form completions, legislative alerts, and petition signatures.
- Momentive: is a learning management software that tracks features such as user login, course progress tracking, quiz results and certification.
Some third parties may set or read their own cookies or similar technologies when you use the Services. These third parties may collect information about your online activities over time and across different websites or online services.
5. Your choices and how to exercise them
You have the following choices, subject to technical and legal limitations:
- Cookies and related tracking technologies: Although this may affect some Services features/functionality, you may manage cookies and related first- and third-party tracking technologies via (i) your browser settings, and/or (ii) via various third-party opt-out resources. Some embedded third-party services offer their own controls (e.g., YouTube’s privacy-enhanced mode; Google Analytics opt out options). (See also discussion of these third parties in Section 4 and 6).
- Email preferences: You may use the unsubscribe link in our marketing emails or contact us to update your preferences. Service-related messages (e.g., registration confirmations) are not optional.
- Account information: You may review and update certain profile information through your member account, or contact us for assistance.
- Location permissions (CASBO2GO): You may control location permissions in your device settings; disabling such permissions stops the App from collecting precise device geolocation data.
6. Third‑party links and plug‑ins
The Site or the App may contain links to or embed third-party websites, apps and other external products or services (e.g., maps, video) that we do not own or control (“Third Party Sites”). This Privacy Notice does not apply to such Third Party Sites. We encourage you to review the data privacy, security and related policies of such Third Party Sites. We are not responsible for the content, use or misuse of any information provided or collected on any such Third Party Sites.
7. Do‑Not‑Track
Your browser settings may automatically transmit a “Do-Not-Track” (DNT) signal to websites and other services you visit. Because there is no industry standard, we do not respond to DNT signals from a user’s browser.
8. Security
We use reasonable administrative, technical, and physical security measures (for example, access controls and encryption in transit where appropriate, staff training regarding access to personal information), and review our measures periodically to protect information against unauthorized access, destruction, use, modification, or disclosure. Notwithstanding such precautions, no website or application can be 100% secure and no method of transmission or storage is completely secure. Any information you provide is at your own risk. Please confirm your browser settings and take all reasonable and appropriate personal precautions to protect your information against unauthorized access, misuse, or other data breach or compromise.
9. Retention
We retain information for as long as reasonably necessary to provide the Services, maintain our relationship with you (e.g., membership administration), comply with legal and accounting requirements, resolve disputes, and enforce agreements. Retention periods vary by record type and context; for example, financial and transaction records are typically retained for multiple years to satisfy legal and audit requirements.
10. Children’s Online Privacy Protection Act (COPPA)
Our Services are intended for adults only. We do not knowingly collect personal information from—nor are our Services directed at—individuals under age 13. If you believe that we have unknowingly collected personal information from someone under the age of 13, please contact us.
